Road to Phase 2 Timeline

As you round out your second year, it is important to keep track of certain dates that YOU as a medical student must follow. These include deadlines for getting event tickets, ordering supplies for your upcoming clerkships or even when you have classes on a different campus. You can follow along here and make sure you are completing each item.  You may also view this timeline as a graphic, to leave on your phone or your desk.

Items by Month

Feb. 3 — Order your suture kits

These are required for Transitions 2 (T2), surgery clerkship, and the OB-GYN clerkship. Order a suture kit.

The deadline to order suture kits is March 31.


Feb. 3 — Housing requests open for White Coat Ceremony

Complimentary overnight housing is available to regional campus students who will be completing Transitions 2 on your regional campus but coming to Indianapolis to attend White Coat Ceremony and Orientation to Clerkships. There is no cost to you.

The reservation will include a one-night stay from Monday, April 28 to Tuesday, April 29 at a local hotel within proximity of the Indianapolis campus. This is an optional offer so you may also choose to stay with other friends or family that night, if you wish.

Please make your housing request using the housing request form. The deadline to complete the housing request form is March 21. Late requests cannot be honored. If you miss the deadline, you will need to arrange your own housing.

Once you complete the housing request form, you can expect to receive a confirmation email in early April. For questions about housing, please contact Sally Hoyda at sahoyda@iu.edu.


Feb. 13 — 
Fill out your hospital onboarding and compliance requirements

Start compliance requirements and review hospital onboarding requirements in February.

  • Phase 2 Annual Compliance (deadline: Friday, April 25, 2025)
  • New this year: IU Health badging. You must complete the steps for obtaining a IU Health badge by Friday, April 11, 2025, in order to receive your badge at Orientation to Clerkships on April 29. You should receive an email from idbadging@iuhealth.org with additional information. Instructions can also be found in Canvas in the Phase 2 Annual Compliance section.
  • Please do not start onboarding until you have received confirmation of your first rotation or are instructed to do so by your clerkship coordinator. If you are not placed at one of the hospital systems on the Hospital Onboarding page for Rotations 1 and 2, do not start the process preemptively.
  • Make sure to review the onboarding initiation deadlines for upcoming dues dates for initiating onboarding.

Some onboarding steps may take several weeks to complete, so it is better to begin the onboarding and compliance processes early to ensure that you can start clinical rotations on May 6, 2025. The deadline for onboarding initiation for Rotations 1 and 2 is Friday, March 28, 2025.

March 5 – Register for White Coat Ceremony on April 28

You will receive an email with your personalized link to register for the White Coat Ceremony. It is important that you respond whether you plan to attend the ceremony or will not be attending.

We have adopted a new process to guarantee that your name is pronounced correctly as you cross the stage. The registration process will walk you through the steps to provide your preferred name and verify your pronunciation. The registration is also your opportunity to reserve up to five guest tickets to the White Coat Ceremony and will receive your e-tickets in April to share with your guests. If you wish to have more than five guests, you may also request to be placed on the wait list for one or two more tickets. You will receive a separate email if tickets become available.

Please check your email for this message and unique link from MEDevent@iu.edu. Responses are due by March 26.


March 26 — White Coat Ceremony ticket requests are due

If you intend to bring guests (up to five) you must do so by this date. You will not receive tickets if they are not ordered by this date.


March 21 — Housing requests for White Coat Ceremony close

If you are a regional student that needs housing to attend the White Coat Ceremony, make sure you get the request in by this date. Late requests will not be accepted.


March 28 — Complete hospital onboarding initiation for Rotations 1 and 2.

Check out the Hospital Onboarding site or in your RoadMap Canvas site for all onboarding initiation deadlines and site specific instructions.

  • This is required for placements at Community Health Network, Eskenazi Hospital, and Richard L. Roudebush VA Medical Center for sites in the Indianapolis area.
  • Regional campus clinical sites might have requirements not listed on the Hospital Onboarding site. If you have questions, please reach out to your regional coordinator.
  • Please do not start onboarding until you have received confirmation of your first rotation.

March 31 — Deadline to Order Suture Kits

April 11 — IU Health badging information is due to IU Health.

  • You must complete the steps for obtaining an IU Health badge by Friday, April 11, 2025, in order to receive your badge at Orientation to Clerkships on April 29.
  • You will receive a photo submission e-mail from idbadging@iuhealth.org to upload your IU Health badge photo into the software and select the following badge printing location: Indianapolis Adult Academic Health Center (1633 N Capitol Ave Suite 300, Indianapolis, IN 46202) of Public Safety Badging Office on 6th Floor of Medical Towers.
  • Upload documentation that your badge was approved to your MedHub account. IU School of Medicine Compliance will verify your badging completion and note this element as complete.

April 14 — Transitions 2 begins statewide

Transitions 2 is a required course. Attendance is mandatory.

All students are expected to attend Transitions 2 on their Phase 1 campus. Those students who will be moving to their Phase 2 campus before Transitions 2 should contact Marlita Kelly (marlkell@iu.edu) with that information. While the components of Transitions 2 are the same on all campuses, the actual schedule of those components will vary. Transitions 2 events will be kept on the Phase 1 Year 2 Google calendar until the Canvas course site opens. View the Phase 2 curriculum.

Time away requests for Transitions 2 must be submitted by the end of March. View the Time Away Policy.


April 24 — Transitions 2 ends statewide


April 25 — Hospital onboarding and compliance requirements due

All annual compliance requirements are due.


April 28 (Monday) — White Coat Ceremony

All students are invited to attend the White Coat Ceremony in Indianapolis. This event celebrates your transition to the clinical phase of your training.

The ceremony for 2025 will take place at 4 p.m. in Clowes Memorial Hall on the Butler University Campus in Indianapolis.


April 29 (Tuesday) — Orientation to Clerkships and Career Fair

All Phase 2 students are expected to attend Orientation to Clerkships and Career Fair in Indianapolis.

This event is required for all students, and happens in-person at the IU Indianapolis Campus Center, from 7:00 a.m. to 2:30 p.m.

May 1–2 — Health Systems Science 3 — Sessions to Enhance Physician Success

Health Systems Science 3 — Sessions to Enhance Physician Success is a nine day course that will run throughout your Phase 2 year. It will allow you to reflect on your clinical experiences and learn more about key topics such as death and dying, health systems science, and substance use disorders. The course is virtual and includes synchronous and asynchronous sessions. View the Phase 2 curriculum.


May 6, 2025 — Phase 2 clerkship rotations begin

All clerkship NBME exams will be in-person (no virtual options).
