Hospital Onboarding

Before beginning Phase 2 clinical rotations, Indiana University School of Medicine students must complete site-specific onboarding requirements for each health system where they are assigned. These onboarding processes ensure access to clinical systems, badges and required training prior to the start of rotations.

Participating Health Systems

Students may be required to complete onboarding for one or more of the following health systems, depending on rotation assignments:

Students rotating at IU Health facilities must complete required education modules, Cerner access preparation and IU Health specific ID badging.

Students rotating at the VA must complete federal onboarding requirements including background screening, fingerprinting, training modules and PIV badge access.

  • Complete the form at least 30 days prior to your clerkship start date.
  • You will need to complete the onboarding process even if you are only working at an outpatient clinic on occasion during your rotation.

All students — including those who have previously rotated at the VA — must complete onboarding for the 2026–2027 academic year.

You’ll need to have a Real ID-compliant form of identification to get into any VA facility. This is a federal requirement, and it applies to everyone entering VA campuses for official purposes, including clinical clerkships.

VA Parking Information

All medical students will no longer be able to park at the VA (includes all parking areas) due to limited parking spaces. Students will need to park at IU Indianapolis and walk over to the VAMC. The VA police are strongly enforcing these parking rules and issuing tickets.

If you need temporary Student Affiliate Parking, please complete the Student Affiliate Parking Pass Request Form. Please allow two weeks for processing.

Students assigned to Community Health Network facilities must complete network-specific onboarding and attend required orientation and Epic certification.

All students — including those who have previously rotated at Community Health — must complete onboarding for the 2026–2027 academic year.

Advance notice (30–60 days) is required to ensure timely onboarding.

Orientation

Orientation is required for students (prior to ALL onsite activities) and includes:

  • Issue of your network ID badge and access card, training and certification for Community’s intranet and EPIC system (regardless of previous experience).
  • There will now be two required activities for students on their assigned Monday class. The first is virtual and the second is in-person. To be approved for Monday orientation and training, students must be available virtually (8-9:30 a.m.), and in-person (10-10:30 a.m.). Following completion of both activities at approximately 10:30 a.m. Mondays, students will be fully credentialed and approved to proceed with onsite training.
  • Prior to beginning onsite activities, student orientation and Epic certification are required (in-person class). This is part of our Epic agreement with Medical Staff Services and is non-negotiable.

Students rotating at Eskenazi Health must complete onboarding and Epic training requirements. Prior Epic training may be reviewed for possible exemption if completed within the previous year and supported by a detailed transcript.

All students — including those who have previously rotated at Eskenazi Health — must complete onboarding for the 2026–2027 academic year.

Eskenazi Health only accepts detailed transcript from that organization’s Learning Management System. The transcript must itemize each individual Epic Online course and the date on which it was completed. 

  • Submit the transcript to isprovidertraining@eskenazihealth.edu (cc: compreq@iu.edu) for approval of an exemption from Eskenazi Health’s Epic Online training.
  • Visit the Eskenazi Service Desk in person to activate DUO and establish their Eskenazi password. Make sure to bring a government issued ID plus your student ID.

Eskenazi Health Parking Information

Students are eligible to get a Student Flex Pass through Eskenazi Health. To request a pass, please complete the Eskenazi Health Student Flex Pass Request Form. Please allow two weeks for processing.

The pass will be emailed to the student’s email address given in the form. The flex pass allows two entries, and two exits per day in the Eskenazi Health Visitor Garage. If this pass is lost, students will need to visit the parking desk on the main concourse of the hospital. This pass should not be shared.

If you do not request an Eskenazi Health Student Flex Pass, you will need to park in IU Indianapolis campus parking. If you are from a regional campus and need temporary student affiliate parking for the IU Indianapolis campus, please complete the Student Affiliate Parking Pass Request Form. Please allow two weeks for processing.
