Onboarding at Community Health Network

When you have been assigned to a clinical rotation at Community Health Network (CHNw) facilities, your statewide course coordinator will notify you, CHNw, and the MSE Compliance office to start the onboarding process. The MSE Compliance office will work with you and the CHNW Medical Student Education office throughout the onboarding process to ensure that it is completed prior to the start of your scheduled clinical rotation. Onboarding is required for both inpatient and outpatient clinical rotations at CHNw.

Community Health Network requires a 30-60 day notice prior to the first day of a scheduled clinical rotation in order for onboarding to be complete. If scheduling of your clinical rotation has fallen less than 30 days prior to the beginning of the rotation, it is imperative that you reach out to the MSE Compliance Office immediately upon notification of scheduling by the statewide course coordinator in order to facilitate rapid onboarding or recredentialing with CHNw.

Regardless of whether you have previously rotated at a CHNw facility, you must follow the onboarding instructions provided by CHNw through completion in a timely manner. Onboarding or recredentialing must be completed prior to the start of your scheduled clinical rotation. Failure to complete onboarding in advance of your scheduled clinical rotation may result in your clinical rotation to another facility or postponement.

Onboarding Process

Your application should be submitted 30 days (or ASAP) in advance of the desired rotation start date, via the online portal.

  • Prior to beginning onsite activities, student orientation and Epic certification are required (in-person class). This is part of our Epic agreement with Medical Staff Services, and is non-negotiable.
  • Once your application is complete, Scott McNew will follow up with details about your orientation and certification class.

Medical Student: Application for Clinical Placement

Using the Application for Clinical Placement, items must be completed and returned to Scott McNew at Community Health Network via the online portal. Please direct any questions to smcnew@ecommunity.com. Remember to cc MSE Compliance at compreq@iu.edu on all onboarding correspondence to CHNw.

Community’s onboarding guidelines and requirements for medical students are below.

  • Submit this application to get started. All fields are required except middle name/initial.
  • Requests should be submitted 60 days in advance of the desired rotation start date.

Even if a visiting rotation request is approved, all onboarding requirements must be completed in order for a trainee to be eligible to begin onsite training at CHNw. One or more outstanding requirements (unsubmitted by the trainee and/or unapproved by the UME Office) on the scheduled visiting rotation start date will result in a delay until the requirement is completed.

Orientation

  • Orientation is required for students (prior to ALL onsite activities) and includes issue of your network ID badge and access card, and training and certification for Community’s intranet and EPIC system (regardless of previous experience).
  • Prior to beginning onsite activities, Epic certification by a network trainer is required. Certification must be completed in-person, during the assigned orientation class. There is no virtual option. This is part of our Epic agreement with Medical Staff Services, and is non-negotiable.
  • You will receive an outlook calendar invitation with specific location information.
  • Class will begin promptly at 8 a.m., and admittance is not allowed beyond 8:15 a.m. Please arrive by 7:45 a.m. Please use designated employee parking only while at any CHNw facility. This class will conclude by 12:30 p.m.
  • It is recommended that you bring your own headphones for orientation.

EPIC Transcripts

Community Health Network utilizes the EPIC system. If you have already received EPIC training, please submit your EPIC transcripts via email to Scott McNew, cc: MSE Compliance, in anticipation of your onboarding orientation.

Please note that attendance at orientation is required, regardless of previous EPIC training. However, upon approval by CHNw of submitted EPIC transcripts, you will receive credit for the EPIC training class that follows orientation.
