EPIC Training at Eskenazi Health

If you are scheduled to complete a clinical rotation at Eskenazi Health you will be required to complete their Epic training syllabus. Your statewide course coordinator will provide you with your personal log in details, and the instructions below will help you activate the various accounts needed to function at Eskenazi Health.

Most Phase 3 students completed EPIC training during Phase 2 rotations and will not need to complete the training again during Phase 3. However, if you are a Phase 3 student and did not complete this training previously, you must do so prior to the start of your scheduled clinical rotation at the facility utilizing EPIC.

EPIC training reciprocity is offered in Indianapolis between Eskenazi Health, The Franciscan Alliance, and Community Health Systems facilities. If you previously completed EPIC training for one of those sites and will be rotating at another of these health care facilities, then please work with your statewide/regional course coordinator to initiate training reciprocity with the health care facility so that you do not have to duplicate your training.

Please note that the list of hospitals using EPIC in Indiana is does not necessarily reflect all health care providers and systems that utilize EPIC. As stated above, please check with your statewide course coordinator, clerkship director, IU School of Medicine Compliance or the onboarding facility to determine if they utilize EPIC.

DUO — Multi-Factor Authentication

Eskenazi Health utilizes the DUO two-step verification system for access to their information technology applications, including EPIC. Users are required to download Cisco’s Duo Mobile app to their mobile device. Once the App is downloaded, the user will need to go to the Eskenazi Service Desk in person to activate DUO and establish their Eskenazi password. Make sure to bring a government issued ID plus your student ID. They should be able to pull up information that we have on file for additional verification.\

The Eskenazi Service Desk is located in the Lower Level of the 5th/3rd Bank building, which is attached to the main Eskenazi campus.

IU School of Medicine also uses the DUO Mobile app. The app is configured to manage the two-step verification accounts for multiple accounts and the IUSM account is independent of Eskenazi’s account. You will use the same DUO application for both systems, and do not need to load the mobile application twice.

Optimal Sequence for Getting to Work Quickly

  1. HealthStream is independent of other Eskenazi applications and does not require additional security to access. So do your HealthStream work first.
       a. Log in as soon as you receive your credentials and complete the Epic Online training.
       b. If an Epic Live class is listed on your To Do list inform istraining@eskenazihealth.edu.

  2. Visit the Eskenazi Health Center after completing your Epic training to collect your Eskenazi ID. While there also report to the Eskenazi Service Desk, which is located close to the Badging Office in order to:
       a. Activate your Duo account.
       b. Record a challenge word that may be used in the future to confirm your identity without requiring an in-person visit.
       c. Assist you with establishing your Eskenazi password.
       d. Activate your Epic account. Your Eskenazi password will now also work for Epic.

If you have an account at Eskenazi and have not logged in in over 90 days, your account may be disabled or deleted. In this case, you’ll need to go to the Service Desk to reset your password and setup DUO in person.

The User ID is your Eskenazi ID. This is a 6-digit number sometimes referred to as your CDN.

Set Up Duo

You’ll need to go to the Service Desk to reset your password and setup DUO in person. Make sure to bring a government issued ID plus your student ID. They should be able to pull up information that we have on file for additional verification.

Tip: You will be able to access HealthStream without Duo, so wait until you have completed your Epic training before going to the Service Desk.

Go to the Fifth Third Building and take the elevator to the lower level. Follow the path to the Service Desk Service desk room # FL400. The Service Desk is available in person M-F 8am to 5pm.

It’s directly across from the glass display. Look for the phone and sign that says Service Desk. Just call the number and someone will let you into the area. Please contact either your statewide course coordinator or IU School of Medicine Compliance at compreq@iu.edu if you require assistance with your EPIC Unique ID.



Challenge Word To facilitate identification of callers to the Eskenazi Service Desk, we ask that you provide a Challenge Word that will be recorded.

This Challenge Word will be used by the Eskenazi Service Desk to validate their identity of a caller. The user will provide this Challenge Word at the time of activating their Duo account.
   
Network (Active Directory/ Windows)

Your network password should be a passphrase of at least 14 characters, and should contain at least 2 each of the following:

  • Lower case letter
  • Upper case letters
  • Numbers
  • Special characters

You will change your password at first login. If not on a networked computer, you may go
to citrix.eskenazihealth.edu/ to login and change your passphrase.

After changing the initial passphrase at first login, you will also use your ID and the passphrase you created to log into Epic, XenApp or ANY system listed here where UserID and Password state “use network passphrase”.

Upon completion of your EPIC training, you’ll need to go to the Service Desk to reset your password and setup DUO. Make sure to bring a government issued ID plus your student ID. They should be able to pull up information that we have on file for additional verification.

Epic Transcripts

If an EPIC reciprocal health care facility requests that you provide proof of completion of your Eskenazi EPIC training, you must transmit your Eskenazi transcripts to that health care facility. Please follow the instructions below. If you have any questions regarding transmission of your Eskenazi transcripts, please contact your statewide course coordinator, the IU School of Medicine Compliance at compreq@iu.edu, or the reciprocal health care facility to which you are onboarding.

  1. Access HealthStream at healthstream.com/hlc/eskenazi and log in with your 6-digit Eskenazi employee ID and associated password.
  2. Move to the "Completed" display and, if necessary, adjust the date range to cover the dates when you completed your online Epic training modules. Please make sure all courses are listed. Do not use the Summary view.
  3. Click "Print."
  4. The Customize window offers a second chance to adjust dates. Once they are set correctly click "Continue."
  5. Use the "Export" button to specify a PDF format, which will create a Student and Group Transcript Report in a new window. Use normal Windows functionality to save this report on your device.
  6. Email this report to your coordinator for forwarding to either Community Health Network or the Franciscan Alliance requesting that you be granted access to their Epic system without having to re-do the Epic training modules.

This process is reversed if you first completed Epic training at either Community Health Network or the Franciscan Alliance and are now rotating into Eskenazi for the first time.
