IU Health Onboarding and Cerner Access

IU Health Education Modules

Due Date for Completion: April 25, 2025

The IU Health education modules cover a range of topics, including infection control, safe medication administration and cultural competency. Complete all assigned modules on the designated online platform.

Phase 2 students assigned clinical clerkship rotations must also complete any location specific modules (i.e., IU North, IU West).

IU Health module completion procedure

  • Go to the physician education website. You will use your IU email and log in information to access the modules. If you have difficulty accessing the modules, please email docs@iuhealth.org (CC compreq@iu.edu) for assistance.
  • When you have completed all your assigned modules, email docs@iuhealth.org to inform them that you have completed the modules, and then your Cerner login information will be sent to you.

Submission to IU School of Medicine Compliance

Once you have completed all assigned modules for the current academic year and have emailed docs@iuhealth.org to obtain your Cerner log-in, mark this task as complete within your MedHub account. The annual requirement will be verified through the IU Health Center for Physician Education and then be marked complete by IU School of Medicine Compliance.

IU Health Badging

If you need a new IU Health badge, please email compreq@iu.edu to start the process. IU Health will no longer be utilizing the IU Crimson Card for door access in IU Health buildings.

You will receive a photo submission e-mail from idbadging@iuhealth.org to upload your IU Health badge photo into the software and select the following badge printing location: Indianapolis AAHC (1633 N Capitol Ave Suite 300, Indianapolis, IN 46202) of Public Safety Badging Office on 6th Floor of Medical Towers.

IU Health’s badge photo criteria is below — think driver’s license or passport style photo, except you can smile!

  • Must be an individual, solo photo of yourself.
  • Should be taken slightly above the head to middle of chest.
  • Should be taken against a plain, light background.
  • Must be centered, straight forward directly facing the camera.
  • Should not be taken on an angle of any type.
  • Eyes should be open, looking at the camera, and cannot be covered.
  • Must be a color photo without any filters or modifications.
  • Must not include sunglasses or hat.
  • Must not have shadows or bright lighting across face.

You will receive an approval, photo pending, or photo denied e-mail based on the picture you upload.

Photo Pending: A ‘photo pending’ status means that you have uploaded a photo, but it is currently being checked by the software.

  1. Pull up the photo you submitted and make sure it meets all criteria listed above.
  2. If your photo does not meet the criteria, submit a new photo using the information found in your ‘photo pending’ e-mail.
  3. If your photo meets the criteria, carefully monitor your e-mail for a ‘photo approved’ or a ‘photo denied’ e-mail from idbadging@iuhealth.org.

Photo Denied: A ‘photo denied’ status means that your photo does not meet the required criteria. You must upload a new photo that meets the criteria to have your badge printed.

  1. Carefully review the criteria and take a new photo.
  2. Follow the link in your e-mail to upload your new photo as soon as possible. If your photo is delayed, it will delay your badge being printed.

Once your photo is approved, your badge will be printed and picked up by IU School of Medicine staff and delivered to you at the mandatory Orientation to Clerkships and Career Fair on April 29, 2025.

Upload documentation that your badge was approved to your MedHub account. IU School of Medicine Compliance will verify your badging completion and note this element as complete.

This is due by Friday, April 11, 2025, to ensure badges are printed prior to Orientation to Clerkships (OTC).

IU Health Badge Replacement Process

If your badge is lost, damaged, stolen or you experience a name change, you can obtain a replacement badge. If a temporary badge is needed while your replacement badge processes/prints, visit your local Department of Public Safety Office at IU Health.

All replacement badges require an IIS ticket to be submitted. Depending on the time and day of submission, your badge will be ready within the same day to two days later.

  1.  Go to the IIS Self-Service Portal.
  2. Click ‘Submit a New Ticket’ — use the search terms ‘badge management’
  3. Click ‘Badge Profile Updates’
  4. Follow the process to request a new badge

Lost Badge/Change Photo: An ID access badge has been misplaced, damaged beyond function or a new photo is desired.

  1. Select this ticket, ensure your information is correct and add context in the text box.
  2. Select your badge printing location.
  3. Pay the $20.00 fee via credit card (you cannot do the paycheck deduction from IU Health). Follow the link, enter credit card payment information and document your invoice number, add invoice number to the text field on your ticket.
  4. If it is for a new photo, you will receive an e-mail to upload a new photo after completing the above and submitting your ticket.
  5. Your new badge will be printed at your selected location and you will receive an e-mail.

Name Change: A new ID access badge is needed due to a title or name change.

  1. Ensure your changes are reflected in Oracle before submitting a ticket; work with your IU Health leader or point of contact.
  2. Select this ticket, ensure your information is correct and add context in the text box on the change.
  3. Select your badge printing location.
  4. Your new badge will be printed at your selected location and you will receive an e-mail.

Stolen Badge: An ID access badge has been stolen from your possession.

  1.  A police report needs to be filed internally or externally and you need to obtain a copy. Stolen badges could give someone all the access you have to IU Health space and systems, potentially jeopardizing the safety of our team members and patients.
  2. Select this ticket, ensure your information is correct, and add context in the text box. 
  3. Attach your police report to the ticket.
  4. Select your badge printing location.
  5. Your new badge will be printed at your selected location and you will receive an e-mail.
